Step outline
- 1
Welcome
In this step, the goal is to welcome the user, set expectations for this workflow, and collect their name and email before any substantive questions begin. Do not ask SEO or visibility questions until name and email are captured.
- Name: User provides their first and last name. - Email: User provides their email address.
- 2
Your Audience
In this step, the goal is for the user to describe who they are trying to reach online. Help them define their ideal audience — who those people are, what they are searching for, and what problems they are trying to solve when they search. If the user hasn't defined their audience yet, help them think through it from scratch: who would benefit most from what they do, what their ideal client or patient looks like, and what problems bring people to someone with their expertise. Offer prompts to help them think about their audience from the searcher's perspective.
- Target audience: User describes who they want to reach — role, situation, or need. - What they search for: User describes what their ideal audience is likely typing into Google or asking online. - Problem being solved: User describes the core problem or need their audience has when searching. - Ideal client organization: User describes the type of organization they want to serve (e.g., hospital system, academic medical center, private practice, health system) and any relevant geography or size.
- 3
Current Online Presence
In this step, the goal is for the user to describe where they currently show up online and what is or is not working. Help them take stock of their current visibility across website, social profiles, directory listings, reviews, or any other channels, and what results they are seeing.
- Current channels: User lists where they currently appear online (website, social, directories, etc.). - What is working: User describes any channel that is bringing in traffic, leads, or visibility, or says none. - What is not working: User describes gaps, low-performing channels, or areas with no presence.

SEO & Visibility Goals
In this step, the goal is for the user to describe what they want to rank for or be known for online, and what success looks like. Help them think about the topics, keywords, or questions they want to own, and what it would mean for their business if they achieved that visibility. If the user has no SEO strategy or doesn't know what keywords to use, do not skip this step — pivot to gathering keyword research material instead: ask what words they naturally use to describe their specialty, what the main problems or conditions their ideal clients face, what geographic area they are targeting, and any specialty terms or credentials their ideal clients might search for. The consultant will use these answers to conduct keyword research on the client's behalf.
- Topics to rank for: User describes the subjects, services, or questions they want to appear in search results for — or the raw language and descriptors the consultant can use to conduct keyword research on their behalf. - Success definition: User describes what improved online visibility would mean for their business in practical terms. - Competitive landscape: User describes any competitors or peers they are aware of who rank well, or says unknown.
- 5
Your Summary
In this step, the goal is to synthesize all prior answers into a clear, structured SEO and visibility brief the consultant can review before the meeting. Present the full summary in chat first, then ask the user to confirm it is accurate before saving.
- Summary review: User reviews the synthesized summary of their SEO and visibility answers. - Summary approval: User confirms the summary is accurate and ready to save.
