What this workflow covers

A short intake workflow that helps you share your current processes, where AI tools could help, and what you'd most like to automate — so your consultant can come to your meeting with targeted ideas. Takes about 10–15 minutes.

Step outline

  1. 1

    Welcome

In this step, the goal is to welcome the user, frame this workflow as accessible and non-technical, and collect their name and email before any substantive questions begin. Do not ask workflow or AI questions until name and email are captured.

    - Name: User provides their first and last name. - Email: User provides their email address.

  2. 2

    Current Workflows

In this step, the goal is for the user to describe the recurring tasks and processes that take up their time. Help them surface what they do repeatedly, what feels slow or manual, and where they feel like they're doing the same thing over and over. Offer prompts and examples to help them identify workflows they may not think of as 'workflows.'

    - Recurring tasks: User describes the tasks they do repeatedly that take significant time. - Biggest time sinks: User identifies what eats the most time or feels most manual. - Pain points: User describes what feels slow, frustrating, or inefficient right now.

  3. 3

    AI Experience & Interest

In this step, the goal is for the user to share their experience with AI tools so far and where they see the biggest opportunity. Help them reflect on what they have tried, what worked or didn't, and where they are most curious or excited about AI's potential for their work.

    - AI tools used: User describes any AI tools they have tried, or says none. - What worked or didn't: User describes their experience with those tools, or says not applicable. - Areas of interest: User describes where they most want to explore AI's potential in their work.

  4. 4

    Automation Goals

In this step, the goal is for the user to describe what they most want to hand off, streamline, or automate. Help them be specific about what they want to stop doing manually, what they want to run on autopilot, and what they want to happen automatically as their business grows.

    - Top automation goal: User describes the single thing they most want to automate or stop doing manually. - Other automation ideas: User lists any other processes they'd like to automate or streamline. - Dream scenario: User describes what running on autopilot would look like for their business.

  5. 5

    Your Summary

In this step, the goal is to synthesize all prior answers into a clear, structured AI and workflow summary the consultant can review before the meeting. Present the full summary in chat first, then ask the user to confirm it is accurate before saving. Offer to revise any section.

    - Summary review: User reviews the synthesized summary of their AI and workflow answers. - Summary approval: User confirms the summary is accurate and ready to save.
